Privacy Policy

This Privacy Policy applies to information obtained from our customers or any third parties by us through websites owned and operated by ExL Events* and which you may otherwise provide directly to us. This Privacy Policy does not address internal privacy steps that we take to protect or collect information about our employees or contractors. If we collect information from you in other ways, we may also publish a different privacy policy from this present one detailing the specific ways in which we may use any information you might provide. For example, if we conduct a survey, we might provide you with a different privacy policy which would relate to the information we collect regarding that survey.

This Privacy Policy only applies to information we collect. We may post links to other websites on our website. However, when you link to those other websites the information you provide, or which might be collected about you, is treated in the way those other sites use your information. Similarly, if you order any goods or services through our site, you may be re-directed to third-party payment processors who may handle your information differently from the way we do. We also use third-party providers for customer relationship management, as well as marketing and promotion. Your information is shared with those providers. We might have no control over the ways those other sites and providers use your information and you should read the privacy policies on those other sites, or otherwise familiarize yourself with the privacy and security practices from those third-parties if you are concerned. Should you have questions about the third-parties with whom we might share your information, please contact us as otherwise stated in this policy.

This Privacy Policy seeks to generally tell you: why we collect information; what information we collect, how we collect information about you, how we use and share the information we collect, your choices about the information we collect and how to contact us to express those choices, the security we use to try to prevent unauthorized disclosure of your information, as well as other information about our policy concerning privacy and security of personal information.

We are committed to taking reasonable steps toward protecting your privacy online and to managing your information responsibly. If you have questions about the way we manage your information, you may contact us at the link, phone number, or mailing address listed below.

By using this website, or otherwise providing your personal information to us you consent to the collection and use of information by us in accordance with this privacy policy. If we decide to change our privacy policy, we will post those changes on this page.

Why We Collect Information:

We collect personal information because it helps us deliver products and services, and helps us market our products and services. For example, if you sign up for a conference, we need to have information such as your billing address, age, product choice, delivery information, and payment processing information. In addition, your personal information helps us communicate to you our latest conferences, special offers, and information and events about which you might like to hear. We also collect your personal information to help us design and deliver our website, to deliver targeted e-mail or direct mail communications to you, or to otherwise contact (such as by phone).

What Information We Collect:

The following generally describes the type of information we may collect about you. Those who wish to communicate with us but do not wish to provide personally identifiable information online may contact us through the address or phone numbers provided on our website. However, you should note that if you contact us by phone, or if you contact us via postal mail, you may still be submitting personally identifiable information to us. For example, if you have a listed phone number without blocking, your phone number may appear to us when you call. Similarly, if you write to us and provide a name and return address, we will gather that information in order to communicate with you, and we may use the information in accordance with this privacy policy.

On-Line, Mail, and Phone Orders or Registration:

When you visit websites owned and operated by ExL Events* and you register for a conference, download a whitepaper or conference materials, join a mailing list, or otherwise provide your personal information to us we collect the information necessary to complete your order, such as your name, e-mail address, shipping address, payment information (including credit card number and/or debit card number and PIN) and billing address. Please refer to the section entitled “Security” (below) for more information about credit and debit card information and how that is handled. You may also choose to provide us with other information about yourself. If you make orders, register for events, or create an account, (whether on-line or by phone or mail) we will collect information about your purchases and payment methods.

General Browsing:

We do not automatically collect your home address, email address, telephone number, and product preferences unless you voluntarily input this information, such as during a registration or ordering process, or when you submit questions or comments, request information, or participate in surveys, promotions or other activities.

Even if you do not submit personal information through the website, we gather navigational information about where visitors go on the website and information about the technical efficiencies of our website and services (i.e., time to connect to the website, time to download pages, etc.). This information allows us to see which areas of our website are most visited and helps us better understand the user experience. This helps us improve the quality of the website by recognizing and delivering more of the features, areas, and services our visitors prefer. In this process of gathering information, we may collect personally identifiable and non-personally identifiable information (for example, domain type, browser type and version, service provider and IP address, referring/exit pages, operating system, date/time stamp, and click-stream data). We may also create and use electronic records to compile statistics about how our visitors interact with our website.

How We Collect Information:

We collect information in three primary ways:

1. You Give Us Information: We collect information from you when you purchase a service from us or when you interact with us about a product or service we offer or provide. For example, you provide us with your personal information when you register for and/or attend a conference, or download a whitepaper or other materials we might provide. We might also ask you for feedback about conferences or other goods or services we might provide.

2. We Collect Information Automatically: We automatically collect certain types of information when you visit our website or use our products and services. For example, we automatically collect various types of technical information when you use our website as otherwise described in this privacy policy.

3. We Collect Information from Other Sources: We may obtain information about you from outside sources. For example, we may obtain commercially available information about you from third parties, such as demographic information, or purchase e-mail lists from third parties for advertising and marketing purposes. We may also receive information from third-parties who provide third-party tracking services through web-beacons as otherwise discussed in this privacy policy.

Use of Cookies:

Cookies are bits of electronic information that a website may transfer to a visitor’s computer to identify specific information about the visitor’s visits to the website. Our e-mails to you and our website use a browser feature known as a cookie, which assigns a unique identification to your computer. Cookies are typically stored on your computer’s hard drive and are used to help track clicks as you go through the pages and links within our website or e-mails. We may also use cookies to tell us whether you have previously visited the website. We also use cookies which may be set by third-parties with whom we have entered into agreements which may enable us to obtain other information about you as may be available from those third-parties. You can set your browser not to accept cookies or to notify you when you are sent a cookie, giving you the opportunity to decide whether or not to accept it. You may also use commonly available tools in your browser to remove cookies which may have been placed onto your computer. We will not use FLASH cookies, unless you are specifically notified that we intend to use them for a specific service, and you are given the opportunity to opt-out from receiving such cookies. FLASH cookies are cookies that are placed on your computer that are not removed through normal browser management tools.

As you browse websites owned and operated by ExL Events*, advertising cookies will be placed on your computer so that we can understand what you are interested in. Our display advertising partner, AdRoll, then enables us to present you with retargeting advertising on other sites based on your previous interaction with websites owned and operated by ExL Events*. The techniques our partners employ do not collect personal information such as your name, email address, postal address, or telephone number.  You can visit this page to opt out of AdRoll’s and their partners’ targeted advertising.

Use of Web Beacons, Clear-GIFs, Pixel Tags and JavaScript:

We also use “pixel tags” (also called “action pixels,” “web beacons” or “clear gif’s”) and/or JavaScript plug-ins, placed in our emails to you, and which may be placed on our website. These web beacons and plug-ins are small graphic images (typically that you cannot see) or code on a website or in an email message which are used for such things as recording web pages or for tracking the performance of email marketing campaigns. These devices help us analyze our customers’ online behavior and measure the effectiveness of our marketing. We may also work with third-party service providers that help us track, collect, and analyze this information. Third-party entities with whom we have agreements may place these devices on the website and/or in e-mails to use information obtained from them such as pages viewed, items purchased, e-mails opened and items upon which you may click in e-mails. These third-party providers may also place cookies onto your computer. Those third-party cookies may enable us to obtain aggregate demographic information and user statistics about you and your preferences from these third-party sources as well as our information we have about you.

Widgets and Server Logs:

A “widget” is generally an application that can be embedded in a web page. Widgets can provide real-time information to the page. Widgets are often provided by third-parties and we may provide widgets on our website. Widgets may enable the third-parties that provide them to collect data about users visiting this website. We may also obtain information shared with us through the providers of these widgets.

A web “server log” is a record of activity created by a computer that delivers certain web pages to your browser. Certain activities that you perform on our website may record information in server logs, such as if you enter a search term into a search box located on the site. The server log may record the search term, or the link you clicked on to bring you to website. The server log may also record information about your browser, such as your IP address and the cookies set on your browser.

Search Queries on Our Website:

We may provide you with options to search for information on our site. If you enter information in a search query box, we may store that information and we may aggregate that information with other information we may have about the browser and/or IP address from which the search query originated.

Surveys

From time to time, we may request information from users via surveys and review forms, such as if you attended a conference we may ask you to provide feedback about it. Participation in these surveys is completely voluntary and the user therefore has a choice whether or not to disclose this information. Information requested may include contact information (such as name, email and shipping address) and demographic information (such as postal code, age level). This information will be used to process the surveys and we may also post all or parts of any survey results or reviews on our website or in other marketing materials. If your information gathered via a survey will be used in a manner different from that described in this privacy policy, such use will be detailed in the survey notice.

If you are visiting our website, contacting us, or attending one of our conferences from, or in, a location outside of the U.S., your connection will be through, and to, servers located in the U.S. All information you receive from the website will be created on servers located in the U.S., and all information you provide will be maintained on servers, systems and physical locations located within the U.S. The data protection laws in the United States and other countries might not be as stringent as those in your country. Updating Personal Information

We prefer to keep your personal information accurate and up-to-date. If you would like to change your contact information, please click here.

Links

For your convenience, the website may contain links to other websites. We are not responsible for the privacy practices, advertising, products, or the content of such other websites. None of the links should be deemed to imply that we endorse or have any affiliation with the links.

Security

We believe in attempting to provide a safe and secure experience for all of our online visitors, and for storing information we otherwise obtain from you. To that end, we have implemented security measures to protect the information collected from you. We maintain reasonable physical and electronic safeguards designed to limit unauthorized access to your personally identifiable information, and to protect you against the criminal misuse of that information.

We use third-party service providers to process your credit card data and manage event registration for on-line registration, and otherwise when you submit it to us. We understand from these providers that these third-party providers use data encryption technology when transferring and receiving your personal information, and otherwise take steps to attempt to secure your personal information. For example, should you wish to register for one of our conferences through our website, you may register by phone or through a registration process that takes you off of our servers and onto our third-party service provider’s site(s). A solid key icon or a locked padlock icon at the lower portion of your web browser window confirms that the third-party’s site is secured through Secure Sockets Layer (SSL). Pages requesting personal information should always have one of these icons. You can also confirm your data is being encrypted by looking at the URL line of your browser (the place where you type website addresses). When accessing a secure server, the site address will change from “http” to “https”. You should see these references when you try to register on-line. If you are interested in our service provider’s privacy policies and security, please click on the appropriate icon to review their website(s) when the ordering box opens.

While we use certain security measures to protect your information, and we have no reason to believe that our third-party processes do not use the security measure they describe to us, please note that no data transmitted over the Internet or stored and utilized for business purposes can be guaranteed to be completely secure. No security measures are perfect or impenetrable. We cannot guarantee that only authorized persons will view your information. We cannot ensure that information you share on the website will not become publicly available. You can reduce these risks by using common sense security practices such as choosing a strong password, using different passwords for different services, and using up to date antivirus software.
